Client Service Specialist – Thousand Oaks, CA

We are currently seeking a Client Service Specialist who is familiar with the financial planning and investment management industry, and is dedicated to helping take our company to the next level. This position requires a goal-oriented, self-motivated and professional person. The primary responsibility will be administrative and general office duties to support our team of professionals, particularly with prospective clients. The position is responsible for maintaining office organization, scheduling client meeting with our current client base on behalf of our company. All candidates should demonstrate a high level of organization, knowledge of basic technology programs such as the Professional Microsoft Office Suite namely Word, Excel, and Outlook, and excellent interpersonal, communication, and writing skills.

Responsibilities include but are not limited to:
Prospective client process – serve as primary support for prospective clients through all stages of the firm’s client acquisition process, including creating mind maps, running cash flow simulations, generating reports, organizing binders, and tracking client opportunities in the firm’s CRM (Client Relationship Management) software
Assist in designing and implementing business process workflows and maintain workflows in the firm’s CRM software
Maintain CRM software, keeping it current for sorting, searching, reporting, fee tracking, and new business opportunities
Prepare documents, reports, binders, and other materials necessary for client meetings
Process post-meeting actions from Advisor or Associate Advisor
Prepare, coordinate and follow through on any needed correspondence with new or existing clients
Answering telephone
Basic office technology needs such as computer updating, internet research and email correspondence
Greeting clients and coordinating client office visits
Updating, maintaining and scheduling client or other office meetings
Office organization including scanning and filing office documents
Updating, creating and using Microsoft Excel spreadsheets
Client correspondence (Birthday and Holiday cards, regular client mass emails, quarterly/semi-annual/annual mailings)
New client file preparation and organization
Preparing and processing client account applications and asset transfers
Assist clients and Advisory team with all non-advisory questions and paperwork
Generate daily reports and distribute to Advisory team
Coordinate daily trading activity
Process money movement requests such as MoneyLinks and wires
Track client service issues and follow up on a timely basis to resolve
Interface with the firm’s custodian as needed to handle client needs
Client or Associate event planning: seminar coordination, study group arrangements and/or client events

Qualifications:
Bachelor’s degree required.
1-3 years’ experience in the financial services industry preferred.
Ability to formulate creative ideas and to analyze, evaluate, and follow through on assigned tasks.
Ability to interact with high net worth clients in a friendly, helpful, respectful manner. Experience in a customer service-related position helpful.
Ability and willingness to operate efficiently in a fast-paced environment with a high volume of activity.
Experience with all Microsoft Office programs, skill in accessing information online and the ability to learn new software programs quickly.
Must be a goal-oriented team player.
Able to perform multiple tasks efficiently.

Benefits:
This is a non-exempt, full time position.
This position will be compensated on an hourly basis and will be eligible for overtime as well as the firm’s Incentive Pay program and other benefits available to regular full-time employees. Hourly rate will be commensurate with experience.
